A practical register of owners, evidence and go/no-go decisions for equipment, staff, maintenance and the guest journey.

A wellness spa is ready to open when the space, equipment, staff routines and guest information work together. Construction handover alone is not an operating launch. Use a checklist with an accountable owner, evidence and a decision for every item, rather than a percentage-complete graphic.
A small property does not need a large operating manual to begin, but it does need clear opening and closing tasks, cleaning and equipment checks, booking rules and escalation procedures. The consultant, contractor, supplier and hotel operator should know where their responsibilities begin and end.
| Workstream | Evidence before opening | Responsible role |
|---|---|---|
| Design and building works | Approved layout, usable service access and specialist sign-offs for the actual scope | Project manager / contractor |
| Equipment | Correct model installed; manuals and commissioning records available | Supplier / technical team |
| Operation | Opening, cleaning, reset and shutdown procedures tested | Operating lead |
| Staff | Assigned staff demonstrate the routine and escalation steps | Training lead |
| Guest journey | Booking, arrival, use, rest and departure are rehearsed | Guest-experience lead |
| Maintenance | Named service contact, downtime procedure and spare-parts plan | Owner / maintenance lead |
| Commercial setup | Published scope, booking terms and accurate service descriptions | Owner / management |
Follow one complete guest journey with the actual staff and equipment. Include arriving late, finding a fault, cleaning after use and closing the facility. Record what happened, not just that training was delivered. A rehearsal should reveal whether the planned staffing and reset time are credible.
For a wet or thermal space, the relevant qualified specialists must approve technical and safety requirements. The CDC Model Aquatic Health Code is a useful international operating reference for public aquatic facilities; it is US guidance and does not replace applicable Indonesian requirements or supplier instructions.
Review completed bookings, reset time, staff questions, unavailable equipment, guest feedback and maintenance records. An underused facility needs an investigation: booking access, audience fit, pricing, opening hours and experience clarity can all matter. Adding another technology is not automatically the answer.
